Protection of Personal Information

Green House Foods Co., Ltd. and its group companies (hereinafter, “the Group”) operate under the corporate motto “A company grows only when it brings joy to people.” Guided by this principle, we aim to provide products and services that bring joy, as well as to create shared value (CSV) with society. While our highest priorities are safety, hygiene, and high quality (Natural Wellness Hospitality), we also recognize the protection of personal information as one of our most important responsibilities. To ensure the appropriate protection of personal information, the Group has established the following policy and will put it into practice.   1. Collection, Use, and Provision of Personal Information

    The Group will establish a management system for the protection of personal information, and will properly collect, use, and provide such information. We will also respond appropriately to requests from individuals regarding disclosure, correction, and other matters related to their personal information.

  2. Ensuring Accuracy and Security of Personal Information

    The Group will implement reasonable security management measures to prevent unauthorized access to personal information, as well as its leakage, loss, damage, or destruction. We will make necessary corrections as appropriate, and provide education and training to employees involved in the handling of personal information.

  3. Compliance with Laws and Regulations

    The Group will comply with the Act on the Protection of Personal Information, as well as all other applicable laws, regulations, and guidelines in relation to the handling of personal information.

  4. Continuous Improvement of Internal Rules

    The Group will establish internal rules concerning the protection of personal information, ensure that they are thoroughly communicated to officers and employees, instill awareness of the importance of personal information protection, and continuously implement, maintain, and improve such rules.

Handling of Personal Information

  1. The Group will not acquire personal information by deception or other improper means.
  2. Except as permitted by laws and regulations, the Group will not collect sensitive information.
  3. When handling personal information, the Group will specify the purpose of use as clearly as possible.
  4. When newly acquiring personal information, the Group will announce the purpose of use in advance or notify or disclose it promptly after acquisition. When acquiring personal information directly from the individual in writing (including by electronic means), the Group will clearly indicate the purpose of use in advance. However, in cases specified by laws and regulations, such measures may not be taken.
  5. Except as permitted by laws and regulations, the Group will not handle personal information beyond the scope of the specified purposes of use without obtaining the individual's prior consent.
  6. The purposes of use of personal information handled by the Group are as follows:
    1. To provide customers and others with services, products, and information.
    2. To contact customers and others regarding reservation confirmations and related matters.
    3. To conduct marketing activities, including introducing services and products of the Company and Group companies.
    4. To analyze services and products for the purpose of improving their value and quality.
    5. To carry out guidance, advertising, promotion, and surveys relating to the Group's business.
    6. To ship prizes related to surveys.
    7. To require compliance with terms and conditions for services provided through the Company's website.
    8. To protect services provided through the Company's website and to protect customers.
    9. For other purposes of use specified at the time of acquiring personal information.
  7. The Group will jointly use the personal information of customers and business partners as follows:

      Address, name, postal code, telephone number, fax number, email address, etc.
    2. Scope of joint users
      Green House Foods Co., Ltd. and Group companies
      (meaning companies in which Green House Foods Co., Ltd. holds, directly or indirectly, a majority of the voting rights through shares or equity interests).

      Within the scope of the purposes of use described in item 1 above.

  8. Within the scope necessary to achieve the purposes of use, the Group may outsource operations such as information processing or product delivery and provide personal data to third parties. In such cases, the Group will conclude confidentiality agreements with such contractors and exercise necessary and appropriate supervision to ensure that personal data is managed securely. In addition, in accordance with laws and regulations, personal data may be provided to third parties without the individual's consent.

With respect to retained personal data, the Group will respond to inquiries from individuals and to requests for “notification of purpose of use,” “disclosure,” “correction, addition, or deletion,” “suspension of use or erasure,” and “suspension of provision to third parties” (collectively, “Requests for Disclosure, etc.”). However, where so provided by laws and regulations, the Group may explain the reasons and decline to comply with such requests.

    Requests must be made in the manner prescribed by the Group, with presentation of the request details, proof of identity, and other necessary information to identify the personal data concerned.
    (3) Fee:
    A fee of 500 yen (including tax) per request will be charged for “notification of purpose of use of retained personal data” and “disclosure of retained personal data.”

  11. Revisions to the Privacy Policy:

    The Group will review its operations concerning the handling of personal information as necessary and may revise this Policy accordingly. In the event of any revisions, the revised Policy will be posted on this website. The revised Privacy Policy shall take effect from the time it is posted on this website.
